Privacy Notice

AI HOA is community-management software for homeowners associations. We store the records your HOA puts into it, we use only essential cookies, and we don't sell or advertise with your data. Questions or requests about your data: a.ai.machinist@gmail.com.

We store the account information you give us (name, email, phone), and the community records your HOA enters or imports: properties and ownership, memberships, assessments and ledger entries, violations, architectural requests, meetings and minutes, documents, announcements, and related history.

Much of this information is entered by your HOA's board or manager on the community's behalf — for example when a board imports the owner roster. AI HOA processes it to run your community's workspace.

When you or your board use an AI feature (the assistant, drafting agents, document search), the relevant prompts and records are processed through the Anthropic and OpenAI APIs to generate the response. These providers process the data to provide the service; we do not use your community's data to train models.

AI HOA uses only essential cookies: the session cookie that keeps you signed in and a cookie remembering which community you're viewing. Your sidebar layout preference is stored in your browser's local storage. We set no analytics, advertising, or cross-site tracking cookies — which is why you don't see a cookie consent banner: there is nothing non-essential to consent to.

Your data is stored with US-based cloud providers: the application database and uploaded documents live in Supabase, the application runs on Vercel, and transactional email is delivered via Resend.

We do not sell your personal information, and we do not share it with advertisers or data brokers.

We run no third-party analytics, advertising pixels, or cross-site tracking on any page.

For any privacy question — including access, correction, or deletion requests — email a.ai.machinist@gmail.com. If your account belongs to a community, some records (like ledgers and violation history) are your association's records; we'll coordinate with your board where the law requires it.
