Scheduling a meeting and sending notices
Creating a meeting, choosing the right type, and how members get notified.
Board work runs on meetings, and meetings run on notice. The dashboard's Meetings section handles both.
Creating a meeting
- In the sidebar, open Meetings and select New meeting.
- Choose the type: regular board meeting, special board meeting, annual member meeting, emergency meeting, or committee meeting. The type matters — annual meetings and special meetings often carry different notice expectations under your bylaws.
- Set the date and time, the location, and — for hybrid or remote meetings — a virtual link members can join from.
- Save. The meeting appears in the Meetings overview and on the community Calendar, where residents can see it in the portal.
How members find out
Meetings publish to the community calendar automatically, and members who subscribe to the calendar feed (there's a Subscribe button on the Calendar page) see them in their own calendar apps. The platform also supports formal meeting notices delivered by email, generated from the meeting's details — with per-recipient delivery tracked, so the board can show notice actually went out. Pairing the notice with an announcement on the portal is a good habit for anything residents should attend.
How much notice is enough?
Your bylaws are the first authority on notice periods, and they differ by meeting type — annual member meetings typically require written notice well in advance, while board meetings are often lighter. Georgia law adds requirements for some associations, and some statutory rules depend on whether your community has opted into the Property Owners' Association Act. When the stakes are high (elections, special assessments, amendments), check the bylaws and, if needed, your attorney before you rely on a date. Rescheduling and cancelling
Open the meeting from the Meetings overview to edit it. Because the calendar and any subscribed feeds update from the same record, a change made here propagates — but for a meeting members were formally noticed about, send a follow-up notice or announcement too. The platform can only update screens; it can't update a paper calendar on someone's refrigerator.
